Verbadoc helps crews and independent operators build proposals, invoices, scopes, estimates, and Visual Logs without fighting the paperwork. It supports talk-to-draft capture, transcript review, AI draft generation, follow-up reminders, local exports, recovery-file backup and restore, and reusable settings without moving your working document library into cloud storage by default.

Include your device model, iOS version, whether the issue happened in the browser or installed app, and the exact step that failed.

Getting started
Set your business profile first. Your business name, logo, payment instructions, tax defaults, numbering, default terms, theme mode, export preferences, and visible document types flow into new documents automatically.
Document setup
Use the New flow to start proposals, invoices, estimates, scopes, or Visual Logs. You can also pick a client first and choose which document to make for that client. Document types can be shown or hidden in Settings so the menu fits your workflow.
Guided Visual Logs
Visual Logs can be freeform or guided. Built-in guides cover insurance exterior surveys, property condition walkthroughs, and construction punch lists. You can also create custom guides in Settings with required steps, minimum photo counts, prompts, and multiple photos per step.
Capture workflows
Visual Log supports walk-and-talk capture, photo reports, camera import, photo notes, annotation, step completion, and skipped-step review. Multiple photos captured on the same guide step stay grouped together as one exhibit in the final document.
Exports and sharing
PDFs are generated on-device. Export saves a PDF locally, and Share opens the system share sheet when available. If a share target does not appear, export first and open the saved file.
Follow-up reminders
After you export or share a proposal, estimate, scope, or invoice, Verbadoc can save a local follow-up reminder for that document. Reminders can stay in-app only, or they can also use device-local notifications if you allow alerts when you schedule them.
Reminder messages
Verbadoc can prepare plain-language follow-up text for SMS, email, and copy-to-clipboard. It does not send messages on your behalf. You review the text and use your own phone or mail app to send it.
Clients, templates, and saved items
Edit clients, work types, reusable packages, saved line items, saved section text, QR links, payment methods, and custom Visual Log guides from Settings. These defaults shape the quick-start flow and reduce repeated typing.
Local-first data
Drafts, exports, reminders, clients, templates, and most settings are stored locally on your device unless a feature clearly says it uses a connected service.
Backup and restore
Verbadoc supports recovery-file backup and restore for local records, including follow-up reminders. Imported reminders come back into the app, but old phone-alert schedules are not trusted automatically. If you want alerts again after restore, reschedule the reminder.
Voice and AI draft creation
Note Optimizer is a paid feature. On iPhone, you can record in-app and review the transcript before parsing. Live transcription uses Apple's speech recognition service. If you continue from the in-app confirmation, the reviewed transcript is sent to Verbadoc's hosted parser, which uses OpenAI to return a structured draft. The resulting document still stays local in Verbadoc unless you export or share it.
Subscriptions and billing
Note Optimizer access is sold through Apple's in-app purchase system and entitlement checks are managed through RevenueCat. If access looks wrong, use Restore Purchases from the paywall. You can manage or cancel App Store subscriptions from iPhone Settings under your Apple Account subscriptions list. In Verbadoc, you can open the purchase flow from Settings under Optimize Notes? (Paid Feature) or when you tap Optimize from the notes flow.
Privacy and review notes
Verbadoc includes in-app links to Support, Privacy, and Terms of Use. The privacy policy explains local storage, Apple speech recognition, OpenAI parsing, and RevenueCat purchase handling so reviewers and customers can see exactly what leaves the device and why.
Troubleshooting
- If setup screens look cropped, close and reopen the app after updating.
- If export appears stuck, try Export once, then Share from the saved PDF.
- If camera capture fails, confirm camera and photo permissions are enabled.
- If Verbadoc is locked after purchase, use Restore Purchases from the paywall.
- If a guide does not appear, save it in Settings and reopen the New Visual Log flow.
- If photos grouped under the wrong guide step, review the exhibit assignments before export.
- If transcript parsing fails after review, the transcript stays saved locally and can be retried.
- If a live recording is interrupted, reopen Verbadoc and resume from the most recent saved transcript draft.
- If a reminder alert does not fire, check notification permissions. The reminder should still be visible in Follow-ups inside Verbadoc.
- If a restored reminder has no phone alert, open it and snooze or reschedule it to create a fresh alert on this device.
- If SMS or email follow-up actions are missing, confirm the client record includes a phone number or email address.
- If local data seems missing after reinstalling, it may have been removed with the app.
Response times
Support requests are usually answered within two business days. Review-related and blocking export issues should be marked urgent in the email subject line.
